Polyester Sourcing Inquiry Checklist

Collect the essentials for a readable first email to a textile material supplier.

01 / Planning the purchase

Open with one clear request

State the material form and what you intend to manufacture. A first message should let the reader identify whether it concerns staple fiber, filament yarn or tops without searching through an attachment. Add your company’s role, such as spinning mill, fabric producer or importer, when it helps explain the buying stage.

02 / Planning the purchase

Give the project context

Describe the downstream article and the process that receives the material. Mention whether the project is new, a repeat purchase or a search for another sourcing option. Include a reference you are allowed to share, and explain what it represents so the recipient does not have to infer the purpose of a photograph or code.

03 / Planning the purchase

Make quantity and destination unambiguous

Pair each quantity with a unit and label estimates as estimates. Keep finished-piece counts separate from raw-material mass. Add the destination country or delivery location you already know. If your company has a target date, identify it as a requested schedule rather than an agreed commitment.

04 / Planning the purchase

Group questions together

Collect unresolved items in a short list at the end of the email. A message with one project summary and a clear question list is easier to answer than a series of disconnected notes. Use one project reference in follow-ups so colleagues can find the complete conversation.

05 / Planning the purchase

Review before sending

Check the recipient, article reference, material name and unit labels. Remove private customer information that is not needed for the inquiry. Our RFQ builder generates a draft for your review and opens your email application only when you choose. Have questions? Please email us directly.
