How to Write a Polyester Material Brief

Create a concise project handover that connects your buying team with the people using the material.

01 / Planning the purchase

Give the brief a stable identity

Use a project title, article reference and revision date. These simple details help distinguish the current brief from an earlier version when several colleagues are exchanging files. A descriptive name such as a collection and article reference is easier to follow than a filename containing only “final.”

02 / Planning the purchase

Describe the process in a sentence

Write what your operation receives and what it makes from that material. Then add the final use for context. This separates your buying stage from the rest of the supply chain and helps prevent a request for fiber from being read as a request for yarn or finished fabric.

03 / Planning the purchase

State the intended outcome

Explain the desired appearance, handling or article concept using language your team agrees on. If an image is included, annotate the aspect you want the reader to notice. Keep inspiration and existing production references clearly labelled so the two do not become interchangeable.

04 / Planning the purchase

Assign ownership to open questions

Where information is missing, identify who can provide it or mark it as undecided. A brief is useful even with open items if the gaps are visible. This lets the purchasing conversation progress without introducing guesses that later become mistaken for requirements.

05 / Planning the purchase

Close with the buying context

Add the estimated quantity, destination, project status and contact responsible for follow-up. Keep a copy of the exact version sent. When the brief changes, share a revised complete version and call out the changes. Have questions? Please email us directly.

Your practical checklist

  • Add a stable project title and revision date.
  • Write a one-sentence process description.
  • Explain the purpose of every visual reference.
  • Assign an owner to each unresolved item.

Keep this checklist beside your current project brief and revisit it when the buying context changes.
